Landlord rent ledger (Ontario)
Not legal advice. Ontario rules change; confirm with Tribunals Ontario / the Landlord and Tenant Board (LTB) and a qualified professional.
A rent ledger is the running history of what was owed, what was paid, and what remains. For small Ontario landlords, a clean ledger is often more valuable than a stack of unsorted e-transfer screenshots.
Minimum fields that prevent confusion
- Period (month/year) and due date
- Amount due (rent + lawful charges broken out)
- Amount paid, date, method, reference/memo
- Balance / arrears running total
- Notes (NSF, partial payment, credit from LMR interest)
How LeaseTrail helps
Create a tenancy, log payments as they arrive, and keep documents beside the same record. When you need a narrative for a conversation — or materials to organize for a hearing — you are not reconstructing history from memory.
Pair your ledger with:
Monthly habit (15 minutes)
- Reconcile bank/e-transfer against the ledger.
- Issue receipts if requested.
- Flag arrears early with a calm written reminder (keep a copy).
- Store notices and responses in the tenancy file.
