Rent receipts for Ontario rentals
Not legal advice. Ontario rules change; confirm with Tribunals Ontario / the Landlord and Tenant Board (LTB) and a qualified professional.
Ontario tenants often need rent receipts for benefits, taxes, or personal records. Landlords who issue clear receipts reduce back-and-forth and keep ledgers aligned.
What a useful rent receipt includes
- Landlord (or agent) name and contact
- Tenant name(s)
- Rental address and unit number
- Period covered (e.g., September 1–30, 2026)
- Amount paid, date received, and payment method
- What the payment was for (rent, parking, utilities, LMR, etc.)
Workflow that stays organized
- Record the payment in your rent ledger first.
- Generate or write a receipt that matches the ledger line exactly.
- Give the tenant a copy (PDF or paper) and keep yours with the tenancy file.
- If you use LeaseTrail documents storage, file the PDF beside the tenancy.

Common pitfalls
Mismatched dates, missing unit numbers, and receipts that don’t match e-transfer memos cause headaches later. If you credit LMR interest toward rent, note it clearly on both the ledger and the receipt.

Sample receipt outline (copy/adapt)
Rent receipt
Received from: [Tenant name]
Address: [Unit + street, city]
Amount: $[amount] CAD
For: Rent for [Month Year] (and list other charges if any)
Date received: [YYYY-MM-DD]
Method: [E-transfer / cheque / cash]
Received by: [Landlord/agent name]
Match every field to your ledger line. If you issue partial-payment receipts, show the remaining balance owed for that period.
Digital vs paper
PDF receipts emailed the same day as payment reduce “I never got a receipt” threads. Store the sent file with the tenancy documents in LeaseTrail so you can resend without rebuilding history.
