Core documents many people gather

  • Lease / tenancy agreement and renewals
  • Rent ledger and payment proofs
  • Notices exchanged (keep copies of what you served or received)
  • Maintenance requests, vendor invoices, and photos
  • Move-in and move-out photos with dates
  • Relevant emails/texts (export or screenshot with timestamps)

How to organize without panic

  1. Timeline first: one page listing key dates in order.
  2. Bucket files: Payments · Notices · Repairs · Condition photos · Other.
  3. Label clearly: YYYY-MM-DD_room_issue.jpg beats IMG_4533.jpg.
  4. Prefer originals: keep full-resolution photos; PDFs for statements.
  5. Stay consistent: the same naming scheme across the tenancy.
